Webex meeting transcription has two main post-meeting routes: a cloud recording with a transcript, or saved Cisco AI Assistant meeting content on an eligible setup. For recordings, enable transcription in User Hub before capture and read the result in the recording player. For AI Assistant, check that transcripts are included in saved meeting content, then look in Meeting recap. Seeing captions or receiving a summary alone does not establish that you have a complete saved transcript. Recording settings, AI content settings

Save a transcript with a cloud recording
Use this route when you want spoken text alongside the meeting video. In User Hub → Settings → Recording, enable Recording transcripts for MP4 recordings, then select Save. These preferences apply to cloud recordings. The neighboring AI summary and chapters option is a separate output; selecting it is not the same action as enabling the transcript. If the transcript option is missing, ask the site administrator whether recording transcription is available for your user. Cisco allows administrators to enable it for everyone, selected users, or users who can turn it on themselves. Follow the meeting's consent requirements before recording or transcribing. After the recording is available, play it and look for the transcript to the right of the video. Search for a word or phrase to highlight matching passages. The host can correct a passage using its pencil icon and save the edit. Check the audio around an important quote before using the text. View, search and edit recording transcripts
Save Cisco AI Assistant content without assuming a recording
Cisco AI Assistant can produce a meeting summary even when the meeting is not recorded. The post-meeting summary requires AI Assistant to be on and Save meeting summary enabled. A summary condenses the discussion; it is not evidence that the full transcript was saved. Cisco's post-meeting summary instructions
For transcript availability, ask the administrator to check Meetings AI Features → Customize post-meetings AI features in Control Hub. The saved-content choices distinguish summaries, transcripts and meeting messages. Cisco documents this content as available to the host, who can share it within the configured policy. Older Webex Assistant for meetings instructions describe another feature. Cisco says that Assistant becomes unavailable when Cisco AI Assistant is available. Do not combine an older Assistant switch, a recording preference and current saved-content settings into one universal transcription control. Cisco's feature distinction
Find the saved content in Meeting recap
In the Webex desktop app, open Meetings → Meeting recap. For a meeting associated with a space, you can reach Meetings → Meeting recap from that space. Open the meeting container, then choose the available Transcript, Summary or Recording item.
Cisco documents Download meeting content here for saved content such as transcripts, recordings and summaries. Use it for content your account can access; a download control does not establish that every item was created or shared with every attendee. Current recap and download instructions
If you need caption text, save it before leaving
Captions show spoken text during the call. On the Webex Suite meeting platform, Cisco also provides an in-meeting transcript download, when the administrator permits it. That permission is separate from merely displaying captions. A disabled Captions panel can leave captions visible while preventing transcript saving. Administrator control for transcript downloads
For the documented participant route, turn on closed captions. Before the meeting ends, open More panels → Captions, select Download at the top of the panel, and choose where to save the text file. Cisco says it contains captions from when they were enabled until download; someone who joined later gets content from their joining time. It is not a way to recover words from before that coverage began. Download a transcript without recording
Treat this as a file you save during the meeting. Do not assume a caption display guarantees a complete post-meeting record waiting in your account.
The host sees a transcript, but the attendee does not
Synthetic example: Noor hosts a planning call and can read its recording transcript. Ellis opens the shared recording and sees the video but no transcript. This is a possible sharing difference, not proof that transcription failed.
The host should open User Hub → Recordings, find the recording and select Edit. Cisco places a Transcripts checkbox there: clearing it excludes an existing transcript from other viewers' playback. If the transcript is meant to be shared, the host can check that it is included and save the setting, then ask the attendee to reopen the recording. Cisco's recording-content controls
If Ellis instead received only an AI summary, Noor should check whether a transcript exists in the saved meeting content and whether policy allows sharing it. Changing the recording's checkbox does not configure AI Assistant's saved content. AI content and host sharing
A useful request to the host is: “Could you check whether this meeting has a saved transcript and, if sharing is allowed, send me access or an authorized copy?” Include the meeting title and date, plus whether you can already open its recording or summary. That gives the host a specific record to inspect. Recording the playback again would not repair the original sharing permission.
A separately authorized Mac meeting record
If Webex's transcript is available and meets your needs, use it. If someone else owns the existing record, ask for an authorized copy first. A separate capture makes sense only when you have permission to create another meeting record; it must not bypass a host's refusal or an organization's policy.
Paraspeech's documentation describes Meeting Mode on Mac as recording microphone and system audio into a workspace with playback and a speaker-aware transcript. This is a separate capture workflow, not a Webex integration or a tool for restoring missing native content.
Before relying on it, make a short permitted sample using the actual microphone, headset and meeting setup. Speak locally, have a remote participant speak, then stop capture and confirm that playback contains both sources. Review the resulting transcript and speaker labels.
